The Conference and Event Manager is responsible for providing a high level of service and support to internal college events throughout the academic year. Through building relationships with internal service departments and understanding the needs of those departments that put on events, the manager will ensure college events are successfully executed. The Conference and Event Manager is also responsible for ensuring the needs of summer conferences are met and that summer camp guests have a positive experience.

POSITION RESPONSIBILITIES:

  1. Serve as the manager and primary contact for all campus events and conferences, with decision-making authority.
  2. Be present for events, including those on nights and weekends, to ensure the highest quality of service, including prompt responses in the case of adverse, unplanned conditions.
  3. Monitor the campus' online facility reservation system (FURF) to track upcoming events and ensure proper submission of location and service requests.
  4. Work closely with the Bookstore and Office Services (Mailroom), including learning their systems and processes, to assist during peak periods and on a regular basis.
  5. Assist in the management of the College's rental properties through communication with tenants.
  6. Partner with the catering team to support and coordinate their needs with those of customers and internal service departments.
  7. Recruit, develop, and manage all student employees during the academic year, and temporary conference employees during the summer.
  8. Responsible for departmental budgeting and invoicing internal and external entities.
  9. Leverage and manage the inventory of all event purchases and resources.
  10. Ensure proper set-up, cleaning, and presentation of all spaces and resources.
  11. Manage summer housing, coordinating assignments and enforcing standards of conduct.
  12. Evaluate and update guidelines and procedures for events and departmental operations.
  13. Fulfill such other duties as assigned by the Director of Business Operations.

POSITION REQUIREMENTS


  • Associates degree or two years of college
  • Two years of related work experience
  • Proficiency in Google Apps or Microsoft Office applications
  • Demonstrated organizational skills. Ability to work closely with and supervise diverse employees including regular and temporary staff.
  • Strong oral and written communication skills, ability to interact successfully with internal and external constituencies.
  • This is a full-time position, Monday through Friday. There will be occasional evening and weekend work.



PREFERRED EDUCATION/EXPERIENCE


  • Bachelor's degree
  • Intermediate level of Excel
  • Supervisory team leadership experience

PHYSICAL WORK ENVIRONMENT

  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • Standing: Remaining on one's feet, both stationary and while traversing campus at least 50% of the work day
  • Lifting: occasionally; classified as medium, lifting or lowering an object from one level to another (includes upward pulling) up to 25 lbs.
  • High levels of energy and stamina, necessary for extensive hours during most events.
